The BR-UK AI Governance Summit is an event organized by Chevening Program Alumni and partners, aimed at exploring the ethical and governance implications related to the use of artificial intelligence (AI), as well as its possibilities. It brings together technical aspects and discussions on responsibility, policy, and regulation, fostering the conversation around best practices for the development and deployment of responsible AI in Brazil, the United Kingdom, and globally. The Summit's realization (the "Summit") involves the collection and processing of personal data.
Therefore, this Privacy Notice aims to describe how we collect, use, share, and protect personal information obtained in the context of organizing, managing, and publicizing the Summit.
What personal data is processed?
When you engage with us to participate in the Summit, we need to collect necessary registration information through the Sympla registration form or our contact means available on the website, such as full name, email, and organizational affiliation.
Additionally, when you navigate our website, we may collect electronic device records and data related to interaction with our platform, such as IP address, geolocation, date and time of access, and time spent on our pages. Generally, these are aggregated information and do not allow us to identify you individually.
Furthermore, our website uses cookies to enhance user experience and refine navigation metrics on our platform. Cookies are small text files stored on your computer or mobile device. You can adjust your browser settings to refuse cookies or to be notified when a cookie is sent.
As a rule, we do not collect sensitive information or data revealing health, sexual life, racial and ethnic origin, religious belief, political opinion, union membership, or affiliation with a religious, philosophical, or political organization, genetic or biometric data, unless you specifically and expressly consent to this. We recommend that you do not voluntarily provide these types of information (e.g., through open text boxes, emails, or comments on our networks).
How do we collect your personal data?
We collect your personal information directly from you, through visiting the Summit's website and, if applicable, when you submit a registration form (such as Sympla tickets), interact with us, or participate in the Summit in person. Additionally, our platform automatically collects some information, such as IP address, browser type, and the date and time of the visit.
**For what purposes are personal data used?**
Personal data needs to be processed by us for the following purposes:
- To enable your registration for the Summit via Sympla.
- To inform you about important issues and issue alerts regarding Summit registration.
- To allow you to access our website.
- To conduct satisfaction surveys and contacts about future events and projects.
- To prepare aggregated statistical reports of website visitor activity.
- To respond to inquiries and interact with you.
- To broadcast and record the Summit and maintain a record of online interactions received.
If necessary, data may be used to comply with requests, decisions, and/or orders from government, judicial, and administrative authorities, for the regular exercise of rights in legal proceedings, or, occasionally, according to a purpose under which the organizers have a legitimate interest in carrying out, in which case you will be informed and may oppose the processing.
Who has access to personal data?
The Summit's organizing team will have access to personal data submitted through the registration form to facilitate it. Additionally, we may share your personal information with third-party service providers who help us organize the Summit, in which context we require these providers to adopt appropriate information security standards and not use such data for any other purpose.
If you opt for participation in the Summit and for sharing your professional information for networking and generating relevant contacts, specific suppliers and sponsors may also have access to your data. For example, upon registration, Sympla receives your data, under the terms and privacy notice of this third party.
How long will personal data be retained?
As a rule, we only maintain personal data for the time necessary to fulfill the purposes for which they were collected, including to meet any legal, accounting, or reporting obligations to supporters and organizers. We may also retain information for a longer period for statistical purposes and to measure the reach of the Event.

To enhance the experience on our website and to analyze the impact and reach of the Summit, we use "Analytics Cookies." These cookies are essential to help us understand how our visitors interact with the website and whether the site was accessed. They collect information about which pages are most accessed and visited.
Even with analytics cookies, our approach prioritizes your privacy. We opt for the use of Piwik, a more privacy-centered alternative compared to conventional analytical solutions. By using Piwik, we reinforce our commitment to data protection.
Types of Cookies:
- Piwik Recurring Visitor Cookies: These cookies will remain on your device for up to 3 months. They allow us to better understand the behavior of recurring visitors on our site

How do we protect personal data?
We strive to ensure an adequate level of security to maintain the integrity and confidentiality of the information you may share with us, such as using Hypertext Transfer Protocol Secure (HTTPS) and access control through credentials. Additionally, we protect data in transit from our site using the secure SSL protocol, aiming to protect your personal data from unauthorized access and accidental or unlawful situations of destruction, loss, alteration, communication, or dissemination.
Despite our efforts to prevent security incidents involving personal data, situations caused solely by third parties, such as hacker or cracker attacks, or solely by the data subject themselves, may occur. Thus, we recommend that you exercise caution when interacting with us on our platforms, being aware of the inherent threats to the architecture of the Internet.

This includes the right to access and obtain a copy of your personal information that we have, and to request that we correct any personal data if they are incorrect or incomplete. Additionally, you can request that we delete your personal information or restrict its use in certain circumstances. You also have the right to object to the processing of your data in some situations and, where applicable, you have the right to data portability. If we receive a request regarding the personal data used, we will consider applicable legislation and respond as quickly as possible.
